Make the schedule
your way.

You already know how to make the schedule. Peeloff saves you the copying: it pulls in the physicians, peeloff positions, and CRNA shifts, and finds the PSCV room list. The assignments and decisions are yours.

Use the room planner, type assignments directly, or mix both. There is no required order.

On your phone, use the bottom navigation to switch between Rooms, Peeloff, CRNAs, and Review. Review brings together handoff notes, staffing checks, MEO credits, sharing, and locking. Physician rows stay compact: empty time/notes fields are hidden on phones. Use the person’s menu to add a time or assignment note.

Choose the date

For a new day, staffing loads from the source sheets. If the day already has a saved draft, it opens where you left off. Use More → Refresh staffing to review and apply updated names and positions.

Pull in the PSCV rooms

In Room planner, click Import PSCV Email, then Find PSCV email. Choose the matching message, check the rooms, and click Add these rooms. You can also paste the email.

Already entered those rooms? The app blocks duplicate PSCV room numbers.

  1. Click an Assignment field beside a physician or a morning CRNA’s room field.
  2. Type the surgeon, room, or assignment just as you normally would.
  3. Add any notes you need and enter the total Staff needed yourself.

You can still import the staff and PSCV rooms, then type the rest. Mix both methods freely. Typing an assignment does not create a room-planner card.

Set Staff needed

Enter the total Staff needed at the top. If your planner contains every room, open Planner options and select Count from room planner instead.

Use More → Copy early count for a short, tentative update.

Suggest, then review

Suggest MEOs checks staffing and the MEO queue. Enter any advance MEOs when prompted, review the suggested names, and apply your choices. Post-DOD / 2nd out normally bypasses an MEO, with the option to accept one.

Numbers show award order. The highest-numbered callable MEO comes back first. Advance MEO recipients are excluded from callbacks.

The next day’s peeloff

When staffing is imported, the previous weekday’s saved schedule supplies any 4330/Lucky replacements. The people who worked those roles receive their earned slots; MEOed original holders lead the random group, with 4330 first and Lucky second. Friday carries to Monday. Extra earned positions stay in order. Use manual rearrangement for holidays or unusual coverage; refresh preserves your manual order. A saved next-day draft changes only when you review and apply refreshed staffing.

Lock the completed schedule

Use More → Lock schedule at the top when you are done. Everyone can still view and copy it, but edits are disabled. To make a correction, choose More → Unlock schedule and confirm. The lock is shared by everyone viewing that date; it does not finalize MEO credits.

Your progress saves by date

There is one shared draft per day. Check the saved indicator before closing. Open that date again to continue. If another person edits the same day, separate changes merge; overlapping edits ask you to choose.

Find a final schedule

Open Archive at the top of the app to browse saved email copies by date. App sends are archived automatically. If you send outside the app, use Share → Archive final schedule, or let the schedule mailbox capture the email. Unclear emails appear under Needs review so their date and type can be confirmed. Archived copies remain unchanged when the draft is edited.

Saved versions

Choose More → Saved versions to preview an earlier saved schedule and restore it. Every successful save creates a version, starting when this feature was enabled. Restoring creates a new version, so the draft it replaces can also be recovered. Unlock a locked schedule before restoring. This does not change MEO credits, sent emails, or other dates.

Export draft gives you an extra saved copy. Clear this day starts that day over.

Send directly, or copy

In Share, choose the email type and click Send email. Review the saved schedule and preset recipients, enter the shared send PIN, and confirm. The app records Gmail’s acceptance and asks you to confirm before sending another copy. If a send is uncertain, check its status before retrying. Sending does not finalize MEO credits or lock the schedule.

Preview, copy, paste

Open Share. Choose Main schedule, PSCV schedule, or Early count. Review the email, click Copy for email, and paste into Gmail. Copy the subject separately if you need it.

For Main OR late starts, enter just the start time and leave the finish blank. In Share → Main OR times in email, choose Late starts only: an 8:00 AM start appears as “8:00 start”; starts at 7:30 AM or earlier are hidden. Finish times are only needed to sort rooms from earliest to latest finish; they do not have to appear in the email. PSCV keeps its full start–finish times.

The email is designed to be read on a phone. Copying does not send it.

One physician, two locations

Enter or import both rooms, then open Planner options → Link Main & PSCV. Choose the two portions and their order: Main OR → PSCV or PSCV → Main OR. They move together and count as one staffing requirement. Main and PSCV room counts each include their portion; staff needed subtracts one for each linked pair. Tap Linked on the room to edit either portion or unlink them. The main email shows both portions; the PSCV email shows only PSCV and its full times.

Small email corrections

In Share, edit the subject or type directly in the message before copying or sending. These edits do not change the schedule. They remain while you switch email tabs or return from the send review, until this page is reloaded. Use Other actions → Reset email edits to regenerate from the current schedule. Repeat sends automatically receive a revised subject. The final send review and archive include your edited message. Short updates keep the original thread subject.

Review what is finished

Review shows separate indicators for the saved draft, last confirmed MEO credits, main email, and schedule lock. Changes after a send or credit finalization are flagged. Older or manually recorded credits are not assumed to be confirmed. On phones, tap the compact room-count summary to edit counts.

Suggest room assignments

Enter all rooms and their finish times, then complete CRNA rooms, supervisors, and DOD. Open Planner options → Suggest assignments. Review the proposed assignments before applying. The app fills only empty physician assignments in peeloff order, earliest finish first, respecting PSCV eligibility. Linked assignments use the finish at their final location. Existing assignments stay in place, and Undo is available.

Run the board today

The board checks for changes every five seconds while visible. Searching stays live. Unsaved notes and plans are kept on this device; if someone edits the same text, use Review latest / recover text before saving.

Open Run today from the schedule. On your phone, use the bottom tabs: Physicians, CRNAs, Callbacks, and Tasks. Search by provider, role, room, or plan. The date is always visible; tap Today to return from another day.

Mark home records a departure and offers immediate Undo. The Home lists show the most recent departure first; physicians sent home are in the Callbacks tab. The arrow beside an action opens more options, including Home + text for physicians and Call back + text. Text options prepare Messages for you to review and send, using the official directory and the send PIN.

Callbacks: the highest remaining callable MEO number goes first. Advance MEOs are not callable. When no callable MEOs remain, precall is the default, with postcall available at the board runner’s discretion. Call in asks for an explanation and the send PIN, updates the live board, removes MEO credit when applicable, and replies to the original main schedule email addressed only to the MD list. It does not change the original schedule. The NF CRNA has Call in and Call in + text instead of Mark home.

Changing coverage: use the provider’s action menu to award or reinstate an MEO, send a working reserve home, or move someone in the live peeloff. Reinstating an MEO restores credit; calling them in again removes it. In-town assignments and Friday’s Saturday precall appear automatically. Use Add / check reserves to correct a name for a trade or enter a volunteer. Manual corrections are kept when the source sheets refresh. Calling in a reserve places them in the live peeloff. The board runner can rearrange it as needed.

Staffing changes keeps the history and shows unfinished sheet or email updates. Use Schedule email if the original email needs selecting, then retry pending notices. The app never substitutes a new email thread when the original cannot be found.

Plan later coverage: open Plan coverage above the physicians. Enter a time and the combined Main OR + PSCV room count. The app excludes CRNAs ending at that time and draws a Keep through line using the supervision table. You can override the CRNA count and choose whether DOD still covers a PSCV room. The line updates with live staffing, flags shortages, and never blocks your decisions. One shared plan is saved for the day; editing or removing it does not alter the original schedule.

Correct a home time: tap the underlined Home time on a departed provider to enter their actual departure in Pacific time. They stay home; no email or text is sent. The Home list reorders by corrected departure time.

Meals and plans: mark Lunch for 7 am CRNAs, Dinner for 7–7 and 11–11 shifts, and Lunch for physicians other than 4665, 4330 / 4330*, and DOD. The CRNA count shows morning staffing only. Tap again to undo. Open + Plan to save the next assignment and an optional time. Meals, plans, departures, tasks, and board notes save by date, separately from the schedule and archived emails. Tasks can be deleted with × and restored with Undo.

This is a shared public board. Keep notes operational; do not enter patient names or details.
